Craft and Flea Market Rules

To: STEAM PAGEANT VENDORS. AUGUST 8 TH, 9 TH, 10 TH & 11 TH, 2007

You will be able to reserve only your existing sites until March 1st.
After that date all remaining sites will be sold on a first come first serve basis.

PLEASE FOLLOW THESE STEPS TO ASSURE YOU THE SITE THAT YOU WANT:

  1. Call me at (585) 526-5358 after 6pm if you are interested in reserving a site. I work days and am not home to answer your call. Messages left on my answering machine will not be returned, call after 6pm and no later than 9 pm Eastern time.
     
  2. Each site is 20'x20' and cost $50.00 for all (4) days. There is a $20.00 fee for returned checks. Setup time is anytime after Sunday 8/5/07 2:00 PM. Fees are 1-site = $50.00, 2-sites = $100.00, 3-sites = $150.00, 4-sites = $200.00.
     
  3. PLUS THE ANNUAL MEMBERSHIP FEE, OF $10.00 DOLLARS FOR FAMILY OR $6.00 FOR AN INDIVIDUAL. Even if your site rental is rolled over from last year you still must purchase a 2007 membership.
     
  4. After you and I have agreed on the site or sites, I will give you 14 DAYS to get the payment for the site to me. After the 14 days the site becomes open to the next person who wants it. "NO EXCEPTIONS"
     
  5. Make checks payable to NEW YORK STEAM ENGINE ASSOCIATION, INC. (N.Y.S.E.A). Send it to me along with a copy of your current New York State Tax ID (certificate of authority) and a stamped, self-addressed envelope for your return receipt to the above address. Keep your receipt; it shows you have paid for your site. Your membership card(s) for 2007will get you in and out of the gate. Gate personnel will enforce the membership cards; an updated membership list will be available at the main gates. Daily gate fees apply to anyone who does not have or show a membership card.
     
  6. The use of unauthorized vehicles being driven around the show grounds is prohibited. This is a privilege reserved for official vehicles and the physically challenged. Vehicles must be parked either in the parking lot or within the bounds of your sites. Be sure to get adequate space to allow for vehicle/camper parking within your sites. If your vehicles & trailers are large arrive early enough in the week to properly maneuver them into position yourself.
     
  7. The gates will be closed to all vehicles between the hours of 9AM AND 6PM EXCEPT FOR EMERGENCY. Deliveries may be made to your spaces between the hours of 6PM and 9AM.
     
  8. If you schedule or plan UPS delivery, it is your responsibility to make arrangements to meet them. The Steam Association accepts no responsibility.
     
  9. If you hassle the people working at the gates, and you are identified, you will not be invited back to further shows.
     
  10. If you already have a site and wish to move to a new site, call me after March 1st.
     
  11. When you purchase a site in advance, and for some unknown reason you cannot be at the show you may "Not less than one (1) full month in advance of the show"
    - Request a full refund.
    - Request that your fee be rolled over to the next year. You maintain your option on the site, and I rent the site to someone else for one year only.
    - If I have a record of your sites being rolled it is indicated on the map with an "RO", if not it must be paid for. If you rolled over your site you still must purchase a 2007 membership.
     
  12. 10pm is quiet time for everyone at the show; if you find someone walking around the market area, try to find out who he or she is and where he or she belongs.
     
  13. If you need to apply for a NY State Tax ID just call Albany at 1-800-972-1233, then ask for information on obtaining a CERTIFICATE OF AUTHORITY or website www.nystax.gov and complete form DTF-17, or you may drive to 340 East Main Street, Rochester, N.Y. and receive your tax ID instantly.
     
  14. Foul, abusive language, obscene or X-Rated material will not be tolerated. Alcoholic beverages, drugs and drug paraphernalia are prohibited. The selling of beverages in cans or bottles will not be allowed! The selling of prepared and packaged foods is not permitted.
     
  15. Failure to comply with any of the above requirements may result in your being asked to leave, and or not being invited to future shows and your money will not be refunded. The New York Steam Engine Association, Inc. reserves the right to have a vendor removed using Ontario County Sheriff’s forces, if necessary.
     
  16. The New York Steam Engine Association is not responsible for the loss, damage, or theft of any merchandise, vehicles, or display equipment (tents, canopies, etc.).
     
  17. You can always reserve your existing site for the following year on the last day of the show.
